This privacy policy refers to the collection of personal data by CM Research or Vetspanel, and relates to any personal data collected for a survey which is not to be kept anonymous, and is to be shared with the client.

Please note that the word “survey” used throughout applies to:
• online surveys
• online interviews (individual or group)
• telephone interviews (individual or group)
• face-to-face interviews (individual or group)

WHAT WE DO AND WHY?

The personal data we collect varies depending on the situation, but in general personal data includes:
• Name
• Home Address / Clinic Address
• Telephone number
• E-mail address
• Date of birth
• Voice recording
• Photo/video of face

We collect personal data for market research only, and only with your consent. The specific market research tasks we use the personal data for include:

• To recruit for the panel
• To invite panellists to surveys (via e-mail)
• To contact panellists about missing information in their profile (via e-mail)
• To pay non-panellists for participating in a survey
• To recruit for a face-to-face or telephone survey
• To conduct a face-to-face or telephone survey, following recruitment

The reason which applies will be specified at the point of collection, and explicit consent will always be requested.

Employees of CM Research are based in the UK, which is covered by the UK GDPR, and also Spain, where the EU GDPR applies with the same restrictions.

SHARING OF PERSONAL DATA AND SURVEY RESPONSES

Personal data (including video/audio recordings) is never shared outside CM Research without your explicit consent.

For this project we will ask if your personal data and identifiable survey responses may be shared with the external client. You will be made fully aware of all the requirements, the client will be identified to you, and you will be asked to give your explicit consent to the sharing of this data, all before the start of the survey. You have the right to refuse to take part under these conditions and, if you refuse, your personal data will not be stored.

In the event of your explicit consent being given to share your personal data and survey responses, it will be encrypted and shared in a secure manner, and only with the client named in the agreement. Both the named client and CM Research will delete the personal data and identifying parts of the survey responses within three months of the closure of the project.

RETENTION PERIOD

All personal data relating to a particular survey will be deleted three months after the closure of the project, by both CM Research and the named client.

Personal data stored on the panel will be held until two years after the last survey participation, at which point the panellist will be contacted and asked if they wish to remain on the panel.

YOUR RIGHTS

You are under no obligation to provide personal data to CM Research/Vetspanel or the named client, and have the right to refuse. This may result in you being unable to participate in the survey, or for us being unable to pay you.

Should you change your mind about participating in a survey (the right to withdraw consent), you can do one of the following:

• If you are mid-way through the survey, simply close your browser, or inform the interviewer that you no longer wish to take part.
• If you have already finished the survey, please contact us at [email protected]

You have the right to view or amend the data we hold about you. Please contact us at [email protected] and we will send you the appropriate request form.

You also have the right to request we delete all data we hold about you (the right to erasure). Once again, please contact us at [email protected] and we will send you the appropriate request form.
